What We Do

Executive Committee

Consists of elected officers. The Executive Committee studies and makes recommendations to the PTSA’s Board for approval.

Co-Presidents: A two-year partnership dedicated to building a strong PTSA team that will remain effective after their tenure ends. Experience with PTA goals, organization and procedure an advantage. One Co-President should be beginning a second year as a new Co is elected to ensure continuity. They are active, supportive leaders who preside at all Executive Committee and membership meetings, keep the membership well-informed and focused on the PTA mission, participate in and encourage others to attend the state PTA’s leadership training programs. They keep in close contact with school administration to ensure that PTSA’s and school’s goals correspond.

Secretary: Attends and keeps minutes at all meetings. May be asked to assist with composing and typing outgoing mail. Files and keeps copies of all minutes, correspondence, committee reports, newsletters, meeting notices, etc.

Treasurer: Keeps accurate financial records of all funds received and disbursed. Submits a written monthly report at each PTSA meeting. Deposits funds received promptly into the PTSA bank account. Pays by check only, all financial obligations of PTSA, as authorized by the Board. Preserves all vouchers, receipts, bank statements, canceled checks, etc. to be submitted to the end of year audit committee, or to the Board or general membership, upon request. Plays a major role in planning future year’s budget and monitors use of current budget funds.

Vice Presidents

Each maintains a core area of responsibility, and in addition informs, delegates, obtains feedback and results from Board Committees and representatives.

VP Communication: Assures that the communication channels of PTSA function appropriately and effectively. Oversees the website, e-mail communication, and Scoop newsletter and makes recommendations for improvements to Executive Committee.

VP Fundraising (Ways & Means): Heads up the organizational committees for Pass The Hat, PTSA’s main fundraiser of the year, and any other fundraising activities as approved by the Executive Committee.

VP Legislation: Keeps track of and informs membership about legislative activity that affects the education and welfare of children and youth. Surveys the membership regarding Washington State PTA’s legislative priorities for the year. Represents Shorecrest at WSPTA’s annual Legislative Assembly where the legislative platform is voted and adopted for the current year.

VP Public Engagement: Produces PTSA information that is sent to families in Shorecrest’s back-to-school August mailing. Makes volunteer information and membership forms available to hand out at back-to-school events and PTSA meetings. Oversees membership drive and ensures that membership payments are made in a timely fashion to the Shoreline PTA Council. Attends back-to-school events to promote membership and answer questions.

VP School Affairs: Links PTSA, community, and Shorecrest’s administration. Oversees committees bringing school and PTSA together and parent liaisons to other groups; i.e., Boosters and Site Council.

Board Committees

Committee members and Reps. work from notebooks containing job descriptions that are updated each year Committees all report to their VP. The work is mainly done by phone and e-mail and meetings are kept to a minimum.

Communication Committees

PTSA Website: Updates site once a month or more to keep information current. Material to be posted supplied by PTSA.

Shorecrest Scoop: A two-parent team produces this double-sided page of dates, deadlines, events and timely information. Collect information from school contacts and produce finished newsletter twice a month. Coordinate volunteers who fold, label, and deliver newsletters to post office.

E-Mail: Maintains and updates e-mail data base. Sends out all-member messages to keep the membership informed about upcoming meetings, events and legislative activity as directed by Co-Presidents.

Fundraising Committees (WAYS & MEANS)

Campbell’s Labels: Collects, cuts, counts and mails off to Campbells. The collection enables PTSA to purchase various items for the school free or at a discount rate.

Fundraising event: Committee active only if a fundraiser has been deemed necessary. Currently, a Scrip program is an additional ongoing fundraiser. A golf tournament may also be held.

Pass-The-Hat: Plans and executes PTSA’s main fundraiser of the year at Back To School Night.

Public Engagement Committees

Awards — Golden Acorn & Outstanding Educator: Nominees are sought via PTSA publications, an all-member e-mail, and the PTSA Website. Award pins are ordered from WSPTA and are bestowed at a public event such as the Boosters Auction. Involves nomination gathering, and some discrete phone work.

Hospitality: Organizes volunteers to supply refreshments for monthly meetings. Oversees set up, clean up, maintains stock of paper goods, etc.

Membership Processing: Enters new members on the state database. Totals money received and gives totals and checks to Treasurer regularly. Prints remittance form from state website and forwards to Treasurer when membership payments are due. Provides list of e-mail addresses to PTSA’s e-mail coordinator for addition to membership e-mail data base.

Principal’s Coffees: PTSA sponsors evening meetings during the year for parents to meet the principal informally. Finds volunteer host families, sends out e-mail invitations, publicizes in the Scoop.

School Affairs Committees

Academic Reception: Facilitates Shorecrest’s Academic Awards Reception in May. A two-person team organizes refreshments to be served following the ceremony.

Booster Representative: Connects Boosters and PTSA. Attends Booster meetings and provides updates on their sports/activities fundraising programs at PTSA’s monthly meetings.

Family Services: Activities throughout the year include school wide collection drives, including the Holiday Food Drive to benefit families in need.

Kellogg Representative: A parent, usually with another student at Kellogg, who attends SC PTSA meetings and passes along information about activities at Kellogg Middle School.

PTSA Student Directory: A desktop publishing home project, the Shorecrest student phone directory is assembled and printed in the fall. Parent permission forms, plus letters to Shorecrest families and the local business community selling advertising space, are sent out in August.

Reflections Competition: National PTA’s annual arts in education program. This committee chair facilitates the competition at Shorecrest. Informs staff and encourages student participation, organizes volunteer help. Collects entries and finds volunteer judges, organizes a school exhibit of winning entries and forwards these to the District and State levels.

Shorecrest Site Council Representative: A Site Council parent provides updates on Site Council projects to the PTSA monthly meeting.

Staff Appreciation: Plans and facilitates periodic tokens of appreciation to school staff. The two main events of the year are the Staff Back to School Luncheon when PTSA volunteers provide salads, desserts, bread and beverages and the Staff Appreciation Week in early May.

Student Enrichment Grants: Active in November, grants are disbursed in December. Provides grant applications to Shorecrest staff PTSA members for consideration. The committee reviews and selects grants based on educational outreach criteria which are then forwarded to the Executive Committee for approval. Funded by PTSA’s Pass-the-Hat donations.

Teacher Representative: Attends PTSA monthly meetings to update membership on classroom and academic news.

Valentine Surprise: Organizes volunteer cupcake drive to provide cupcakes to all Shorecrest students on Valentine’s Day. Coordinates volunteers on the day to set up tables, decorations, and distribute.

Volunteer Coordinator: Receives volunteer forms back and makes data base of all people wishing to volunteer. Forwards lists to appropriate VPs and committee chairs. May assist in recruiting volunteers for specific events during the year.

WASL Snacks: Provides healthy snacks to all students taking the WASL. Selects, buys, and organizes distribution to classrooms.
